How we hold your details

This notice explains how Netpilot Base uses personal information when you write to the studio, reserve an origin-issue allocation, book a sitting, or visit the site.

What we collect

From the contact form: name, email, the work you selected, an optional date, the origin issue or origin moment, and your message. If we allocate a copy we also keep the edition number and postage address for the paper proof. We do not ask for payment card numbers on this site.

Why we use it

We use this information to reply, to hold a number, to print and post a splash proof, to schedule a chair, and to keep the origin ledger accurate. The legal bases are contract (when we have accepted work) and legitimate interests (when you have only enquired). Cookie use is described on the cookie notice.

Retention

Enquiries that do not become work are deleted after eighteen months. Allocation records, provenance cards, and commission files are kept for six years after the drop closes or the last invoice, so that a replacement proof can be marked as a replacement. Sitting notes are kept for two years unless you ask us to destroy them sooner.

Your rights

You may ask for a copy of your information, corrections, deletion, restriction, or objection, and you may ask for portability of details you gave us. You may complain to the Information Commissioner’s Office. These rights are those set out in UK GDPR.

International transfers

Email and hosting may store copies outside the United Kingdom. Where that happens we rely on the UK International Data Transfer Addendum or an adequacy regulation. We will not send sequential dummy pages to a mailing list.

Children

Origin issues are written for adult collectors. We do not knowingly keep details of children as clients.
